Important information about booking and traveling with us

Terms & Conditions – Landscape Adventure Pvt. Ltd.

1. Introduction and Acceptance of Terms

Welcome to Landscape Adventure Pvt. Ltd. (“we,” “our,” or “us”), your trusted partner for trekking, tours, and adventure travel in Nepal. These Terms and Conditions (“Terms”) form a legally binding agreement between you (“you,” “your,” or “traveler”) and Landscape Adventure regarding your booking and participation in any trip arranged by us.

By confirming a booking, making a payment, or participating in any of our services, you acknowledge that you have read, understood, and agree to be bound by these Terms, along with our Privacy Policy. If you do not agree to these Terms, you should not proceed with booking or participating in our trips.

2. Definitions

For clarity:

  • Company: Landscape Adventure Pvt. Ltd.
  • Client: Any individual or group booking a trip with us.
  • Trip: Trekking, tours, expeditions, or related activities arranged by the Company.
  • Supplier: Third-party providers such as airlines, hotels, transport companies, or local guides.
  • Force Majeure: Events beyond our control, including natural disasters, political unrest, pandemics, government restrictions, or severe weather.

3. Booking and Payments

3.1 Booking Confirmation

  • All bookings require a minimum 10% deposit of the total trip cost to confirm.
  • The balance must be paid upon arrival in Nepal and before trip departure.
  • Upon receiving the deposit, we will issue an official invoice/receipt.
  • Bookings are subject to availability and will be confirmed in writing.

3.2 Payment Methods

We accept:

  • Bank transfers (client covers all transfer/bank charges)
  • Credit/debit cards
  • Cash in Nepalese Rupees (NPR) at prevailing exchange rates

The amount received in our Nepalese account (after charges) will be considered the valid payment amount.

3.3 Last-Minute Bookings

  • Accepted if operationally possible.
  • Trips involving domestic flights or restricted-area permits should be booked at least 7 days in advance.

4. Cancellation and Refund Policy

4.1 Cancellation by Client

Unless otherwise stated in your booking confirmation, the following cancellation fees apply:

  • More than 30 days before departure: Loss of 10% deposit
  • 15–30 days before departure: 50% of total trip cost non-refundable
  • 7–14 days before departure: 75% non-refundable
  • Less than 7 days before departure or “No Show”: 100% non-refundable

All bank transfer fees during refunds are borne by the client.

4.2 Cancellation by Company

  • If we cancel your trip due to unforeseen reasons (insufficient participants, political instability, natural disaster, etc.):
  • You will receive a full refund of payments made, or
  • Be offered an alternative trip of equal value.

4.3 Force Majeure

  • We will work to reschedule or offer travel credit.
  • Refunds are subject to supplier policies and may exclude unrecoverable costs.

5. Trip Postponement

  • Postponement requests made before arrival in Nepal can be processed without penalty.
  • Last-minute postponements may incur charges for pre-booked services such as hotels, domestic flights, or special permits.

6. Travel Requirements

6.1 Travel Documents

  • Valid passport (minimum 6 months validity from travel date)
  • Required visas and permits
  • Comprehensive travel insurance (including high-altitude evacuation if trekking above 5,000m)
  • Health/vaccination certificates if required

6.2 Health & Fitness

  • Be in good physical condition suitable for the chosen trip
  • Disclose any medical conditions or dietary restrictions before booking
  • Comply with safety guidelines and instructions from guides

7. Risks and Liabilities

7.1 Assumption of Risk

Adventure travel in Nepal involves inherent risks (altitude illness, unpredictable weather, accidents, delays). By booking, you acknowledge and accept these risks.

7.2 Limitation of Liability

  • Loss or damage to personal belongings
  • Delays, cancellations, or changes caused by third parties
  • Extra expenses due to flight delays, weather, political unrest, or Force Majeure events

Our maximum liability is limited to the total amount paid for the trip.

8. Flight Delays and Cancellations

Domestic flights to remote regions (Everest, Annapurna, Dolpo, Humla, etc.) are often weather-dependent. Extra costs for accommodation, meals, or alternative transport are the client’s responsibility.

9. Price Adjustments

We reserve the right to adjust trip prices before final payment due to:

  • Currency fluctuations
  • Government taxes or permit changes
  • Fuel surcharges

Once full payment is received, your price is locked.

10. Unlawful Acts

If you engage in illegal activities under Nepalese law and are required to leave the country, no refunds will be provided.

11. Privacy and Data Protection

We collect personal information only as necessary to arrange your trip.

We do not sell or share your data with unrelated third parties. By booking, you consent to the use of your images or videos from the trip for promotional purposes unless you request otherwise in writing.

12. Complaints and Disputes

Any complaints should be reported to our team immediately so we can resolve the issue. Unresolved disputes will be governed by the laws of Nepal and handled through arbitration in Kathmandu.

13. Emergency Support

We offer 24/7 assistance for clients currently on trips in Nepal. In the event of emergency evacuation, costs must be covered by your insurance or paid directly.
