Cancellation & Refund Policy

Understand our cancellation terms, refund process, and trip modification policies before booking your Himalayan adventure.

At Landscape Adventure, we understand that plans can change. This policy outlines the terms for cancellations, refunds, and modifications to your booking. We encourage you to read this policy carefully before confirming your reservation.

1. Booking Confirmation & Deposit

All bookings with Landscape Adventure require a 30% non-refundable deposit to confirm your reservation. The remaining 70% balance is due at least 30 days before the trip departure date. For bookings made within 30 days of departure, full payment is required at the time of booking.

2. Cancellation by the Traveler

If you need to cancel your trip, the following cancellation charges apply based on the notice period provided before the scheduled departure date:

  • 60+ days before departure: Loss of deposit (30%) only. Remaining balance fully refunded.
  • 30–59 days before departure: 50% of the total trip cost will be charged.
  • 15–29 days before departure: 75% of the total trip cost will be charged.
  • Less than 15 days before departure: 100% of the total trip cost will be charged (no refund).
  • No-show or abandonment during the trip: No refund will be provided.

All cancellation requests must be submitted in writing via email to our team. The cancellation date is determined by when we receive your written notice.

3. Cancellation by Landscape Adventure

In rare circumstances, we may need to cancel a trip due to:

  • Insufficient number of participants to run the trip safely and economically.
  • Force majeure events including natural disasters, political unrest, pandemics, severe weather conditions, or government restrictions.
  • Safety concerns as assessed by our experienced team leaders.

If we cancel a trip, you will be offered the choice of:

  • A full refund of all payments made, including the deposit.
  • Transferring your booking to an alternative departure date at no extra cost (subject to availability).
  • Applying your payment as credit toward a different package, valid for 12 months.

4. Trip Modifications

If you wish to modify your booking (e.g., change dates, upgrade package, add services), please contact us as early as possible:

  • Date changes: Free of charge if requested 30+ days before departure (subject to availability). A rebooking fee of USD 50 applies for changes made within 30 days.
  • Package upgrades: The price difference will apply. Downgrades follow the cancellation schedule above.
  • Name transfers: You may transfer your booking to another person free of charge up to 21 days before departure. A USD 100 administrative fee applies for transfers within 21 days.

5. Refund Process

Eligible refunds will be processed within 14 business days of the cancellation confirmation. Refunds are issued to the original payment method:

  • Credit/Debit Card: Refund will appear on your statement within 5–10 business days after processing.
  • Bank Transfer: Refund will be wired to your bank account within 5–7 business days. International transfer fees, if any, are borne by the traveler.
  • PayPal / Wise: Refund will be processed to your original account within 3–5 business days.

All refunds are issued in USD. Any currency conversion differences or bank charges incurred during the refund process are the responsibility of the traveler.

6. Travel Insurance

We strongly recommend that all travelers purchase comprehensive travel insurance before departure. Your insurance should cover:

  • Trip cancellation and interruption.
  • Emergency medical treatment and evacuation (including helicopter rescue at high altitude).
  • Loss or delay of baggage.
  • Personal liability.

Landscape Adventure is not liable for costs arising from circumstances that would typically be covered by travel insurance. We can recommend reputable insurance providers upon request.

7. Itinerary Changes During the Trip

Himalayan treks and tours are subject to factors beyond our control, including weather, trail conditions, road closures, and flight delays. If changes to the planned itinerary are necessary during your trip:

  • Our experienced guides will make decisions prioritizing your safety.
  • We will provide the best possible alternative arrangements.
  • No refund is provided for itinerary changes due to weather, natural events, or other circumstances beyond our control.
  • Additional costs incurred (e.g., extra accommodation, alternative transport) may be payable by the traveler.

8. Force Majeure

Landscape Adventure shall not be held liable for any failure or delay in performing obligations due to events beyond our reasonable control, including but not limited to natural disasters, epidemics, war, terrorism, government actions, strikes, or severe weather. In such cases, we will work with you to find the best possible solution, including rescheduling or providing credit for future travel.

9. Disputes

Any disputes arising from cancellations or refunds shall first be resolved through direct communication with our team. If a resolution cannot be reached, the dispute will be governed by the laws of Nepal, with jurisdiction in Kathmandu District Court.
